Call tracking & attribution
Every phone call tied back to the ad, channel or page that produced it, so the calls stop being the part of your funnel nobody can see.
Why it matters
For most veterinary practices the phone is still the booking method, not the web form
If calls are not attributed, the channel that actually fills your book looks like your worst performer, and budget gets moved away from it. Tracking calls usually changes which channel a practice thinks is working.
What we do
- Give each channel and campaign its own tracking number, forwarded to your real line
- Play a short whisper message before the call connects, so your team knows the source
- Alert you to missed calls, so a call that rings out still gets followed up
- Announce the California two-party recording disclosure before any recorded call
- Keep recordings for 90 days, with access limited to you and us
- Attribute every call by channel in your monthly report
What you'll notice
Your report opens with how many times the phone rang, which channel produced each call, and which ones nobody answered.
Being straight with you
Call tracking swaps the number displayed on your site for a tracking number, and that swap is gated behind cookie consent like any other third-party tool — so visitors who decline see your real published number and are not tracked. That means your call counts are conservative, not complete.
What we need from you
- Your real practice line to forward calls to
- Permission to display a tracking number on the site
- A decision on whether calls are recorded at all — it is optional
Which plans include it
Questions we get asked
- Is call recording legal in California?
- Only with the consent of everyone on the call. California is a two-party consent state, so a disclosure is announced before any recorded call. Recording is optional — you can use call tracking with it switched off entirely.
- Will clients see a different phone number?
- Visitors who accept cookies see a tracking number that forwards to your real line. Visitors who decline see your real published number. Your Google profile and printed materials are never changed.
- How long do you keep call recordings?
- 90 days, then they are deleted. CallRail defaults to a year; 90 days is our standard because recordings can contain client information covered by California veterinary confidentiality rules.
- Which plan includes call tracking?
- Complete. It is available on Essentials or Growth as an add-on for $166/mo — which is exactly the difference between the Growth and Complete plan prices.
- Do I need a HIPAA agreement for call recordings?
- No. HIPAA covers human health information, and veterinary practices are not covered entities. California veterinary confidentiality rules do apply, which is why access is restricted and retention is short.
